What we collect, why we hold it, who we have to give it to, and how to ask for a copy of everything we have about you.

Tabletop Accounting Pty Ltd of Suite 3, 12 Paperbark Lane, East Toowoomba, QLD 4350 handles personal information under the Privacy Act 1988 and the Australian Privacy Principles. As a registered tax agent we also work under the Tax Agent Services Act and its code of professional conduct, which has its own confidentiality obligations on top of the privacy law.

What we collect

Only what we need to do the work you have engaged us for. In practice that is your name and contact details, your tax file number and Australian Business Number, bank and credit card statements for accounts the business uses, invoices and receipts, payroll and superannuation records for your employees, and details of assets bought, sold or held. For farming clients it also includes livestock numbers and property details, and for fund clients it includes member and investment records.

We collect it from you, from your existing accountant on handover, from the Australian Taxation Office through the tax agent portal once you are on our list, and from the accounting software file you already use.

Tax file numbers

Tax file numbers carry extra rules and we treat them accordingly. We use yours only to prepare and lodge your returns and to deal with the ATO on your behalf. We do not use it as a reference number, we do not print it on anything that leaves the office, and we will never ring you and ask you to read it out.

Why we hold it

To prepare and lodge returns, activity statements and financial statements, to deal with the ATO and ASIC for you, to run your payroll and superannuation where you have engaged us to, to give you advice that reflects your actual position, and to meet our own record keeping obligations as a registered agent.

Who we give it to

The ATO and ASIC where the law requires it or your engagement asks for it. An independent auditor where we administer a self managed superannuation fund, because the law requires the audit to be done by someone other than us. Your bank or broker only where you have asked us to send financial statements, and only what you have asked us to send.

We also use accounting and document software, which stores data on Australian servers under contracts that restrict what the provider may do with it. We do not sell client information, we do not use it for marketing, and we do not take referral commissions from anyone we send information to at your request.

Where it is held, and for how long

Documents move through the client portal rather than as email attachments, in both directions. Files are held on Australian servers and access inside the practice is granted per person, so someone can be given a bookkeeping file without being given the tax returns.

We keep records for five years from the date of lodgement, which is what the tax law requires. For a depreciating asset we keep the purchase record for five years after the last claim made on it, which can be considerably longer. After that, records are destroyed securely rather than simply deleted.

Getting a copy, or correcting something

You can ask for a copy of anything we hold about you at any time, and there is no charge for it. Ring (07) 5550 0080 or email hello@tabletopaccounting.com.au. We will confirm it is you before sending anything, then respond within thirty days. If something we hold is wrong, tell us and we will correct it and let you know where the corrected version had to be sent.

If you leave us, your file goes to your new accountant on their written request, which is an obligation we take seriously because we ask other firms for the same thing on your behalf when you arrive.

If something goes wrong

Tell Imogen directly. We will respond in writing within thirty days and tell you what we found and what we changed. If you are not satisfied with that, you can take the complaint to the Office of the Australian Information Commissioner, and for matters about our conduct as a registered agent, to the Tax Practitioners Board. We will give you the contact details for either of them and we will not make it difficult.

This website

This site sets no cookies, runs no analytics, embeds no social media widgets and makes no request to any third party. The fonts, images and the film are served from this site itself. The enquiry forms on this site are demonstrations: they validate what you type in your own browser and nothing you enter is transmitted anywhere. To actually reach us, use the phone number or the email address.

Changes

We review this page every financial year and whenever the way we work changes. The review date is at the top of the page. If a change affects how we handle something you have already given us, we will tell existing clients directly rather than relying on you noticing a new date here.
